Role Overview
The Staff Assistant will work closely with the Operations Director & Chief of Staff to ensure that the day-to-day operations of the organization run smoothly. They will be responsible for coordinating meetings and events, managing schedules, and providing general administrative and office support. The Staff Assistant will also support projects for each of the government affairs, policy, and communications teams.
Reporting to the Operations Director & Chief of Staff, you will:
- Manage logistics for external/internal in-person and virtual meetings, workshops, retreats, and Hill events; secure meeting room space; supervise the production of materials and catering orders; as well as ensure all technology needs are met.
- Support the leadership team through calendar management, booking travel arrangements, and preparing expense reports.
- Provide general office management by acting as the primary representative with the building and facility maintenance, ordering office supplies, coordinating with IT for equipment and services, greeting visitors, answering phones, and checking mail.
- Assist Operations Director & Chief of Staff in budget development and tracking, invoice processing, development and execution of contracts, vendor management, recordkeeping, and compliance with financial policies and procedures.
- Accurately input data from various sources into designated databases or trackers. Examples include uploading data into Quorum (FFYF’s primary legislative tracker/CRM), Member quotes tracker, press lists, funder progress reports, etc.
- Assist various FFYF team members with special projects and resources such as research and drafting summary documents that support FFYF’s mission and strategy, as needed.
Staff Assistant Requirements
- Associate’s or bachelor’s Degree or equivalent experience
- 2-3 years of experience in a professional setting
- Ability to support multiple staff members and work effectively in a team environment.
- Ability to maintain focus, set priorities, and complete tasks on deadlines in a fast-paced environment, with superior attention to detail.
- Excellent verbal and written communication skills, including professional demeanor when interacting with internal and external stakeholders.
- Demonstrate the ability to follow through on tasks, anticipate problems, and work independently.
- Strong proficiency with Microsoft Office products; ability to learn and master other computer technology and software programs as needed.
- Ability to process, protect, and exercise discretion in handling confidential and sensitive information and materials professionally.
Base Annual Salary: $55,000-$65,000
We believe that all employees should be paid fairly and equitably. As of the time of this posting, this is the expected base annual salary range. The base annual salary will be determined by a range of factors, including skills, qualifications, experience, and business needs and limitations.
